Show Me The (Collected) Revenue: Marketing Automation & ROI for Behavioral Health

Marketing automation for behavioral health only pays off when you can tie spend to admissions and to the revenue those admissions collect.

Behavioral health has the most expensive patient acquisition in healthcare, yet most of it is still measured in opens and clicks that reveal little about what a campaign returned.

For years, growth meant spending more (and, somehow, proving less). But that approach has a ceiling and most operators have hit it. Reimbursements are flat, patient acquisition keeps getting pricier, and every dollar now has to show what it collected, not what it clicked. The market is moving from growth to proof, and the ones who can show ROI will keep their budgets.

That proof starts where your marketing and your admissions data meet. This session is a practical look at how to get there, with real numbers from operators who already have. For the billing side of the same problem, see Billed Isn't Collected on demand.

FAQ

Questions From the Session

What's the implementation timeline for marketing automation like this?
Most setups take one to three weeks. Verifying your sending domains usually takes the longest, so the range depends on that. Most of the build is already done, since the templates and workflows are prebuilt for behavioral health. You copy and duplicate them, add your own copy, and start sending. Having one person to spearhead it and connect the team speeds things up.
How tightly does the platform sync with the CRM, and is it real time?
It's real time, or close to it. A newly created contact syncs almost instantly, and a field update within about 60 seconds, depending on the action. The sync works bidirectionally, so changes made in either system flow to the other. Because the Dazos CRM integrates with the EMRs, updates from the EMR side make their way back and keep everything current.
Do audience segments update in real time?
Yes. With a segment like male alumni, anyone who discharges and matches the conditions is added automatically, so the next campaign to that segment includes them. It works the other way too. If someone lands on a do-not-readmit list, they are excluded going forward. The segments stay current based on how you have defined them.
Are all fields synced automatically, or do custom fields need setup?
Custom fields need a one-time mapping. You add the custom field in your field management, then map it once inside the platform to the field you want on the CRM side. After that it maps going forward and stays current. Standard fields sync without extra steps, and new custom fields you create are available to map right away.
What makes a behavioral health marketing platform different from a generic one?
It's built for the work you do. Generic platforms ship with templates for things like new invoices, so you spend time rewriting everything for addiction and mental health treatment. A behavioral health platform comes with templates already written for alumni check-ins, milestones, and referral updates, connects to your CRM so you avoid managing a separate list, and handles HIPAA and CFR 42 Part 2 compliance.
Do We Need to Hire Someone to Run It?
Not necessarily. One program set this up with no full-time hire. The owner leaned on his alumni team and did some of it himself, and after a four-to-six-week onboarding the program was saving 5 to 10 hours a week. Many cheap or free marketing tools require an FTE to build and manage them, which is the hidden cost a prebuilt, connected system removes.
How do you measure marketing ROI beyond opens and clicks?
By connecting spend to admissions to collected revenue. Open and click rates measure engagement. Collected revenue measures outcomes. The model runs spend, to admissions, to revenue, and reports cost per admission by channel, for email and SMS today. That lets you see which campaigns produced admissions that collected, rather than crediting a channel for a bed that never paid.
